This form should be used to reserve any on campus reservable space in the residence halls or apartment communities at Longwood University. (NOTE: On campus spaces are for student use only. See apartment manager for any exceptions for apartment spaces.)
This form allows you to place one event reservation or up to 6 recurring event reservations. (Recurring = multiple events with the exact same times but differing dates. If the times change, a separate form must be submitted.)
- WHO CAN RESERVE: Only current Longwood University faculty, staff, organizations, & students are eligible to reserve spaces. All spaces must be utilized for a Longwood University approved purpose. Personal &/or outside events cannot be hosted in residential spaces. Spaces reserved using this form cannot be utilized to hold events accessible to the general public. (NOTE: See apartment manager to discuss any possible exceptions for apartment locations.)
- ROOM SETUP: None of the spaces offered are managed by Conferences & Scheduling. The rooms have a set number of tables, chairs, &/or other ammenities. No additional tables, chairs, ammenities, or special setup options can be provided. (NOTE: See apartment manager to discuss any possible exceptions for apartment locations.) The reserving organization/individual is responsible for arranging the provided ammenities in a fashion that is conducive to the event. The group/individual is also responsible for returning the ammenties & furniture to its original configuration/condition prior to leaving the space.
- COMPLIANCE EXPECTATIONS: All events must be in compliance with all university, local, state, & federal regulations to include, but not limited, to the Town of Farmville noise ordinance prohibiting excessive noise after 10PM, CDC health guidance, VDH health guidance, &/or directives given by building staff. Failture to comply may result in immediate removal from the space, financial charges, conduct charges, &/or restricted access to reserve future residential spaces.
- DAMAGE RESPONSIBILITY: By submitting this reservation, you and/or your organization accept responsibility for any and all damages and/or loss of property related to your event. Financial charges are applicable for damages &/or cleaning fees.
- SUBMISSION TIMELINE: Reservations should be submitted at least 1 week in advance to ensure proper processing. Late reservations are subject to denial or may not be processed. (NOTE: Reservations are not processed when staff are out of the office.
