1. Application a) Reservations may be made for the current year. b) A separate reservation application must be submitted for each room and period of use. c) Applicants must be eighteen (18) years of age to reserve a room. d) Reservations must be on the designated form and may be made online, by mail or in person.2. Payment a) Payment may accompany the reservation form or can be paid to the Treasurer"s office on the day of the scheduled event. Checks are to be made payable to: City of Mt. Pleasant.3. Hours a) City Hall has normal business hours of 8:00a.m. to 4:30p.m. Outside groups are required to run meetings between the hours of 8:15a.m. and 4:00p.m.4. Refund/Cancellation a) Once paid, no refund of any portion of the fee will be made for any reason.5. Usage and Regulations a) Use subject to Administrative Memo #2-00. Copies available upon request at the City Clerk"s Office. b) Rental of Chambers and Conference Rooms is not intended for social use. Exception being wedding ceremonies performed by Major and scheduled through the City Manager"s office. c) A $50 fee shall be charged for use of the Chamber or Conference Rooms by outside groups or individuals. This fee will be $100 dollars if the meeting is outside normal business hours to help offset cost of staff personal required to be on-site. The fee will be waived for governmental agencies or non-profit groups meeting for a civic purpose during normal business hours or as approved by the City Clerk. d) Use by outside groups or individuals is limited to the hours between 8:15a.m. and 4:00p.m., Monday-Friday, unless approved by City Clerk. A city staff person must be present in the building at all times if an outside group is using the Chambers or Conference Rooms outside normal business hours. e) Outside groups using Chambers or Conference Rooms shall not use work station phones, copy machines, hallways, or the break room for their breaks or lunch. f) Food for events scheduled by outside groups is discouraged, but if necessary, cleanup is the responsibility of the group registered for the room. g) The City reserves the right to remove a group or individual from the Chambers or Conference Rooms it the City has an emergency need for use of the facility or if conduct disrupts City business. h) It is required that individuals using City Hall meeting space use only the space they have reserved and vacate as scheduled. i) Set-up and clean-up are the responsibility of the team, group, or individual using the room. Any food, cups, dishes, etc. used during the meeting should be washed and put away or disposed of if disposable. Large volumes of trash must be transported to the downstairs loading dock area by the group using the room.
