Purpose of the post
Under the general supervision of the Administrative Specialist, serves as principal assistant for carrying out the administrative support functions to manage the Travel & Protocol Processing, which includes co-ordination with staff in HR, Finance, Registry, Supply and Transportation, as indicated by the requirements and structure of the organization.
Major Duties and Responsibilities of this post include:
- Processes all international travel. Provides advice to staff members and their dependents by processing requests for entry and external visas, accreditation cards, TAs, travel advances, payment requests, installation grants, shipment allowances, R&R payments and other necessary personnel-related documents, in accordance with the requirements of the United Nations and the country of the duty station locations.
- Analyzes, monitors and maintains oversight of local travel that is handled by the Admin Assistant. Ensure Staff capacity is enhanced through active staff learning/development programmes in the area of travel administration and management. Ensures that timely administrative support is provided for all in-country staff, arriving and departing international professionals and temporary consultants. Ensures that housing or temporary accommodation is secured by organizing house/apartment viewing for newly arrived staff. Reviews and evaluates the complementary work of the subordinate to ensure overall cohesion in travel and protocol management.
- Oversees the services received from travel service providers in order to ensures consistency in rates and fares utilized by the office, and constant monitoring and quality control of service received in comparison with other industry competitors. May be indirectly involved in contract renewal or bidding TORs compilation at year-end.
- Consistently interpret and apply Travel policies. Ensure procedures are timely implemented to support operations at the country or Field Office levels. Ensure Staff capacity is enhanced through active staff learning/development programmes in the area of travel administration and management. Briefs international personnel on travel, protocol and general administrative matters.
- Monitor expenditures against TAs in order to ensure proper fund utilization and reallocation of unspent funds. Monitor TAs for
- Supervise the work of general service staff in travel & protocol unit. As head of the Unit will responsible for reviewing and posting all travel requests and claims processed by travel unit.
MINIMUM REQUIREMENTS:
Education requirements: Completion of secondary education, preferably supplemented by technical or University courses in a field related to the work of the organization. Training within the travel industry is a distinct advantage. Knowledge of office and diplomatic protocol arrangements is desirable. Advanced computer skills and associated electronic office equipment and operating data management systems is essential.
Work Experience: At least seven years of progressively responsible work in general administration, with at least two years’ experience in an international organization similar to the UN. Experience within the travel industry is a distinct advantage
Language Proficiency: Fluency in English and in the local working language of the duty station required.
Nationality: Candidates should be NATIONALS of Ethiopia.
